The Challenge

When Green Fools Theatre Society first asked for help, they were struggling with a system that simply didn’t fit. A previous CRM and fundraising implementation, built on D365 CE with an accelerator, had left them overwhelmed.

It was technically sophisticated — but it wasn’t aligned with how a creative, agile arts organization actually works.

They wanted a modern CRM and website to manage their programs, donors, volunteers, and students in order to reduce their administrative burden.

My first task was to understand what had been delivered, why it failed, and how it had created frustration rather than empowerment. It wasn’t just a gap in functionality — it was a gap in connection between the technology and the real needs of the people using it.

Our Approach

Initially, I did what any responsible Solution Architect would do: I designed a system that could fix the technical issues.

The proposed solution would have been elegant, highly structured, and fully aligned to best practices for enterprise systems. Built on Dynamics 365 CE and Power Platform, it would have streamlined processes, simplified reporting, and introduced scalable, professional workflows across Green Fools’ operations.

On paper, it was exactly the kind of solution any organization could be proud to implement. But Green Fools wasn’t looking for a system that made them feel like an enterprise. They needed a system that made them feel like themselves.

The more discovery sessions, workshops, and reviews we held, the clearer it became:
Green Fools didn’t want an enterprise system at all. They wanted to preserve their agility, creativity, and human touch — without being buried by processes and technology.

The real solution wasn’t more system. It was less system — and more listening.

The True Solution

Recognizing this, we shifted course.
Instead of pushing forward with a system build that would have been “technically right but culturally wrong,” I helped the Green Fools team rethink what success could mean for them:

  • Flexible workflows that matched their real pace of work
  • Minimal technical overhead
  • Simple, human-centric tools where necessary
  • Room to evolve organically, without the burden of enterprise software complexity

Our most valuable deliverable wasn’t code — it was clarity.

The Results

By putting the client first, we delivered something far more meaningful than a traditional system:

  • Green Fools preserved their human-first way of working, without being boxed into enterprise software
  • They avoided unnecessary complexity and focused their time, energy, and passion where it mattered most — on their art, their community, and their mission
  • They gained the confidence to lead their operations in a way that reflected who they truly were — agile, creative, and independent
  • A relationship built on listening, respect, and trust continued even after the formal project ended

At El Camino IT, we believe in finding “The Way.” Sometimes, that means building something extraordinary. Sometimes, it means recognizing that the client’s own path is extraordinary enough — and supporting them on it.

I occasionally still consult with Green Fools today, offering advice when they need it. But the real win was helping them find — and trust — their own way.
